# Settings

Settings is where you administer your organization rather than run it. Nothing here creates or moves a business document — everything here decides **who can do what**.

## Opening Settings

Click your **user avatar** in the top corner of the screen and choose **Settings**. You can also press `Ctrl+K` (`⌘K` on Mac) and type "settings".

Settings is scoped to the organization you are currently working in. Switching organizations from the same avatar menu changes what you see.

## How It Is Laid Out

Opening Settings takes over the left-hand menu: the business navigation (sales, purchasing, stock, and the rest) steps aside and the administration menu takes its place. Pick an entry on the left and it opens on the right, so you can move between screens without going back to a landing page each time.

You land on the first screen you have access to — usually **Members**. When you are done, click **Back to app** at the top of the menu to bring the business navigation back.

Settings hosts [Access Control](../access-control/index.html), grouped into blocks:

| Block | Screens | Use it to |
| ------------------- | ----------------------------------------------------------------------------- | ----------------------------------------------------------------- |
| **Members & Roles** | Members, Invitations, Roles | Bring people in and decide what their job lets them do |
| **Permissions** | Policies, Approval Workflows, Row Access, Field Visibility, Field Editability | Narrow that access with conditions, sign-off routing, and filters |
| **Structure** | Hierarchy, User Assignments, Delegations | Model your org chart and hand over duties during an absence |
| **Monitoring** | Audit Log | Read back who did what, when |
| **Identity** | Document Settings | How your printed documents look |
| **Personal** | Preferences | Choose how the app reads, and which notifications also email you — needs no permission |

Hover an entry for a one-line reminder of what it covers, or click the **information icon** next to the word "Settings" at the top of the menu for an in-app explanation of every term above.

## Preferences

**Preferences** is the one screen in Settings that is yours rather than the organization's: it
needs no permission, and nothing you pick there changes anything for anyone else. It holds two
sections.

### Numbers

The **number format** decides how amounts and quantities are written everywhere, from grids and
dashboards to the till and its receipts:

- **Match the language** (the default) — numbers follow the language you are reading Beelocity in,
so a French screen already writes `1 428,50` with nothing to configure.
- **1 428,50 — space and comma** — the Algerian convention, pinned regardless of the device.
- **1,428.50 — comma and period** — the anglophone convention, pinned regardless of the device.

The change applies immediately, everywhere, and only on the device you made it on — a till tablet
and an office laptop can each read their own way.

### Notifications

**Notifications** decides whether the items in [your inbox](../your-inbox.html) also reach your
mailbox. In-app notifications are always on; email starts **off** until you turn the master switch
on, and from then on every kind emails you unless you untick it. Kinds marked **In-app only**
never email whatever you pick.

Unlike the number format, this one belongs to your account rather than to a device, so it holds
wherever you sign in. The gear icon on the inbox is a shortcut straight to this section.

## Why It Is Not in the Sidebar

The sidebar is for day-to-day work — sales, procurement, inventory, manufacturing, maintenance, treasury. Administration is occasional and belongs to a smaller group of people, so it sits behind the avatar menu instead of taking a permanent slot in the sidebar.

## Missing Entries

You only see the screens your permissions allow, and a whole block disappears when you have permission for none of its screens. Preferences is always there — it needs no permission — so every member can at least reach that. If a screen you expect beyond it is missing, you lack the underlying permission: ask an owner or administrator to grant you the matching role from **Settings → Roles**.
