# Holidays and leave

Before a day of leave can be counted, Beelocity has to know which days nobody works anyway. The
**public holidays** are the first of them: the days the law makes paid holidays for everybody. A
leave is never counted on a public holiday, so a month off that crosses 1 November keeps its day.

<a id="keep-the-holiday-calendar"></a>
## Keep the holiday calendar

Open **Human Resources › Setup › Public holidays**. The list shows every holiday on your calendar, one row
per day, in date order.

Algerian law fixes two kinds of public holiday, and they are kept differently:

- **The five civil holidays** — 1 January, 12 January (*Yennayer*), 1 May, 5 July and 1 November —
fall on the same dates every year. Beelocity adds them for you — the current year's and the next
year's when your organization is created, and each following year's as the year before it
begins, if that year's calendar is still empty. They are written in your organization's
language, and you can rename them.
- **The religious feasts** — *Aïd el-Fitr* and *Aïd el-Adha* (three days each), *Awal Muharram*,
*Achoura* and the *Mawlid* — follow the moon, and their dates are announced only a day or two
ahead. Add each one when it is announced.

### Add a feast

1. Press **New**.
2. Pick the **Date** and type the **Name** — *Aïd el-Fitr (first day)*, for example.
3. If only the afternoon is off, as on the eve of a feast, switch on **Half day**. That day counts as
   half a day.
4. Press **Save**.

A feast that lasts three days is three holidays, one per day: each day can fall on a day your
business rests anyway, or be a half day of its own. One day holds one holiday — Beelocity refuses
a second holiday on a date already on the calendar.

### Add the civil holidays of another year

You can add the civil holidays to any year yourself — a year ahead, a past year you are recording
leave for, or a year whose dates you deleted by mistake.

1. On the **Public holidays** list, open the **⋮** menu and choose **Add a year's civil holidays**.
2. Type the **Year** — any year from 2000 to 2100.
3. Press **Add a year's civil holidays**.

Beelocity says how many days it added. A date already on the calendar is left exactly as it is,
even if you renamed it or made it a half day, so a year that already has its five dates gets none.

### Remove a holiday

Open the holiday and choose **Delete**. A day that is not a holiday has nothing left to record, so
it is removed rather than kept as inactive.

<a id="set-your-working-week"></a>
## Set your working week

The law gives every worker one full day of rest a week, normally Friday, and spreads the working
week over at least five days. Most businesses rest on Friday and Saturday; some on Friday only; a
shop that trades on Friday may rest another day. Tell Beelocity which, once, and every leave counted
in working days skips those days.

1. Open **Human Resources › Setup** and choose the **Rest days and leave** tab. You need the
right to change the settings of Human Resources.
2. Press **Edit**.
3. In **Rest days**, pick the day or the two days your business does not work. A week rests on one
   day or two, never more.
4. Check the annual leave parameters below it. They start at the law's own figures, and you change
them only where your collective agreement says otherwise:
- **Leave days per month** — what each month of work earns toward annual leave: two and a half
     days by law.
- **Annual cap** — the most annual leave one year of work can earn: thirty days by law.
- **Southern extra days** — the days your collective agreement adds each year for work in the
southern wilayas; at least ten there, none elsewhere.
- **Leave year starts in** — the month the leave year begins, July by law. The days a person
takes from that month on are the days they earned over the twelve months before it.
5. Press **Save**.

A change applies to every count from then on. Nothing needs saving for the law's figures to apply:
an organization that never opened this page counts with them.

<a id="leave-types"></a>
## Leave types

Every absence you record has a type, and the type decides how it is treated. Open
**Human Resources › Setup › Leave types** to see them. The seven the law names are there from the start, in
your organization's language:

| Type | Paid | Draws on annual leave | Document required | Counted in |
|---|---|---|---|---|
| **Annual leave** — two and a half days a month of work, thirty a year at most | yes | yes | no | calendar days |
| **Sick leave** — on a medical certificate | no — the social-security fund pays | no | yes | calendar days |
| **Maternity leave** — fourteen weeks around a birth | no — the social-security fund pays | no | yes | calendar days |
| **Family event** — at most three days for a marriage, a birth, a child's marriage or circumcision, or a death in the close family | yes | no | yes | working days |
| **Pilgrimage** — once in a working life | yes | no | yes | calendar days |
| **Unpaid leave** — time off you grant without pay | no | no | no | calendar days |
| **Unjustified absence** — a day away with no reason given | no | no | no | calendar days |

What each column means:

- **Paid** — you keep paying the salary for those days. Sickness and maternity are paid by the
social-security fund rather than by you, so they are not paid here.
- **Draws on annual leave** — the days come out of the person's annual leave. Only a paid type can.
- **Document required** — a request of this type is approved only once the justifying document is
in hand: the medical certificate, the marriage certificate.
- **Counted in** — **calendar days** count every day between the two dates, **working days** skip
your [rest days](#set-your-working-week). A public holiday is never counted, whichever you pick.
- **Maximum days per request** — the most days one request of the type may count, three for a
  family event.

The pilgrimage is granted once in a working life, counted across every employer a person has had,
so Beelocity does not check it: it cannot see the other employers.

### Add a type your agreement grants

1. Press **New**.
2. Type a **Code** — a short name such as `TRAINING` — and the **Name** people will read.
3. Switch on what applies — **Paid**, **Draws on annual leave**, **Document required** — and pick
what the days are **Counted in**. **Draws on annual leave** is asked only once **Paid** is on:
only paid time comes out of annual leave.
4. Give a **Maximum days per request** if your agreement caps it, or leave it empty.
5. Press **Save**.

A type no longer used is **deactivated** rather than deleted: it stays on the absences already
recorded with it, and is no longer offered for a new one.

<a id="request-and-approve-leave"></a>
## Request and approve leave

A leave request records one absence of one person: who, of what type, from which day to which day.
It is written as a draft, submitted, and then approved or rejected by someone allowed to approve
leave.

### Record a request

1. Open the employee, go to the **Leave requests** tab and press **New**. The request opens with the
person already named. You can also start from **Human Resources › Leave requests**.
2. Pick the **Leave type**, the **First day** and the **Last day** away.
3. Under **Days**, Beelocity shows what the dates count for that type before you save. For annual
leave it also shows what the person has left for the leave year, and what will be left after
this request. A request that would be refused on submitting says why, there and then.
4. Add the **Reason** the person gave, and switch on **Document received** if the justifying
document is already in hand. The switch is asked only for a type that requires a document.
5. Press **Save**. The request is a **draft**, and you can still change it.

### Submit it

When the request is ready, move it to **Submitted**. Beelocity counts the days again and checks
that:

- the person has not left, and the leave does not start before their hire date;
- the type is still in use, and the request counts no more than the type's maximum;
- no day is shared with another submitted or approved request of the same person — Beelocity names
  that request;
- annual leave asks for no more than the person has left for the leave year — Beelocity says how
  much remains.

A submitted request's dates no longer change: to change them, cancel it and record a new one.
**Edit** and **Delete** stay on the request, greyed out, and pointing at them says so — on the
request and in its row's menu on the list.
Everybody allowed to approve leave finds the request in their inbox.

### Approve or reject it

Only a person allowed to approve leave is offered these two moves. The HR officer role is; the
right to record leave requests does not include it.

- **Approve** asks for an optional note. For a type that requires a document, it also asks whether
the document has been received, and the request is approved only once it has. Approved annual
leave comes out of the person's balance.
- **Reject** asks why, and the request cannot be rejected without saying.

Either way, the request shows under **Decision** who recorded it and the day it was submitted,
then who decided, on which day, and what they wrote. A decision is never dated before the day
its request was submitted.

### Cancel a request

A draft or a submitted request can be cancelled at any time, and a draft can also be deleted. An
approved request can be cancelled until its first day; once the leave has begun it is being taken,
and Beelocity refuses. Cancelling an approved request also removes the colleagues planned to cover
it, automatically ([Cover a leave](changing-the-plan.html#cover-a-leave)).

<a id="how-leave-days-are-counted"></a>
### How leave days are counted

A type counted in **calendar days** counts every day from the first to the last; one counted in
**working days** skips your [rest days](#set-your-working-week). Neither ever counts a
[public holiday](#keep-the-holiday-calendar), and a half-day holiday counts as half a day.

The count follows the calendar. When a holiday is added, changed or removed, or your rest days
change, Beelocity counts again every request the change touches: drafts, submitted requests, and
approved leave that has not ended yet. Leave already taken keeps the days it was counted with.

**Somebody on a crew is counted on their own week.** Their working days are the days their crew's
rota gives them shifts, and their rest days are the rota's, whatever weekday they fall on
([Shifts and rotas](shifts-and-rotas.html#put-people-on-a-crew)). So a family event from Thursday to
Sunday spends three days for someone resting on Fridays, and two for someone whose rota works the
Friday and rests the weekend. The month someone was hired in counts by their own working days too.
When a person joins a crew, moves to another or leaves one, their leave counted in working days is
counted again over the days that changed.

**A change of plan counts too** ([Change the plan](changing-the-plan.html)). A day off is not a
working day, so a family event around it does not spend it, and a call-in stays a rest day. A leave
not yet approved is counted again when a change is made or undone under it.

<a id="how-the-balance-is-counted"></a>
## How the balance is counted

Each employee's record shows their **leave balance**: the annual leave of one leave year, as it
stands on the day under **Balance on** — today when you open the record, or any day you pick. You
need the right to see leave requests.

**Annual leave is earned one year and taken the next.** The **leave year** runs twelve months from
1 July, or from the month set under [Leave year starts in](#set-your-working-week). The leave taken
during it is the leave earned over the twelve months before it, the **reference period**: the
summer leave of 2026 is the work of July 2025 to June 2026.

A reference period earns:

- **Two and a half days for each month worked** in it — the **Leave days per month**.
- A month counts once it has ended. The month someone was hired in, or left in, counts only if they
worked **more than fifteen working days** of it.
- At most **thirty days** in all — the **Annual cap**.
- Plus the **southern extra days**, in proportion to the months worked: ten a year earns five for
  six months.

Someone hired on 1 October 2025 works nine months of the reference period that ends on 30 June
2026, and so has 9 × 2.5 = 22.5 days to take from 1 July 2026.

| Figure | What it is |
|---|---|
| **Entitlement** | What the reference period earned. It stays the same for the whole leave year. |
| **Taken** | Approved annual leave of the leave year that has begun by the day shown. |
| **Planned** | Approved annual leave of the leave year still to come. |
| **Pending** | Annual leave of the leave year submitted and awaiting a decision. |
| **Remaining** | Entitlement − taken − planned − pending: what can still be requested. A request for more is refused. |
| **Accruing** | What the months worked so far in this leave year have earned toward the next one. |

A request belongs to the leave year its first day falls in, even when it runs past 30 June.

What Beelocity does not do:

- It does not carry over what is left of one leave year to the next.
- It does not grant leave in advance: someone hired during this reference period has nothing to
take until the next leave year. Record leave you grant early as unpaid leave, or add a leave type
  for it.
- Absences do not reduce what a month earns, and part-time staff earn the same months.

The balance is worked out each time it is read, never stored. Change the days per month, the cap
or the month the year starts, and every balance moves at once, back to each person's hire date.
