# Human Resources

The **Human Resources** module is where you keep your staff register: who works for the business,
in which department, since when — and, once someone has gone, when and why they left. Algerian law
asks every employer to keep that register up to date and to show it to the labour inspector on
request. Kept in Beelocity, it is one list your whole team reads instead of a spreadsheet on one
computer and a folder in a drawer.

The module is built for the owner or the clerk who looks after the staff. What the staff are
paid is a module of its own, **Payroll**, which reads what this one keeps — see
[Payroll](../payroll/index.html).

## What you can do today

- **Keep the staff register** — every person with the details the personnel register asks for, an
employee number, a department, a job title and the colleague they report to. See
  [Employees](employees.html).
- **Record who leaves, and who comes back** — the last day and the legal cause of every departure,
kept on the register rather than deleted, and a former employee rehired under their old number.
  See [When someone leaves](employees.html#when-someone-leaves).
- **Keep each person's contract** — open-ended or fixed-term, with its dates, probation, base
salary and weekly hours, signed, amended, replaced without a break, and ended with the
  employment. See [Contracts](contracts.html).
- **Print an employment attestation** — the letter a person takes to the bank or an
administration to show they work for you, from the contract in force. See
  [Print an employment attestation](contracts.html#print-an-employment-attestation).
- **Keep the holiday calendar** — the civil holidays added for you, the religious feasts as they
are announced, and the half days. See [Keep the holiday calendar](holidays-and-leave.html#keep-the-holiday-calendar).
- **Record and approve leave** — annual leave, a sick note, a family event: the days counted for
you, submitted, and approved or rejected by whoever may decide. See
  [Request and approve leave](holidays-and-leave.html#request-and-approve-leave).
- **See each person's leave balance** — what they have earned for the leave year, taken, planned
and still to request. See [How the balance is counted](holidays-and-leave.html#how-the-balance-is-counted).
- **Write down the shifts you work** — a morning, an afternoon, a night that ends the next
morning, each with its break; Beelocity says how many of its hours count as work and how many
fall at night. Then lay them out as the rotas your crews repeat, and see each rota's average week
and its days of rest. See [Shifts and rotas](shifts-and-rotas.html).
- **Read the roster** — the month as your crews will work it, a row per person and a column per
day, with each day's shift, the nights, the rests and the leave, and each week's hours held up to
the contract. See [Read the roster](shifts-and-rotas.html#read-the-roster).
- **Change the plan for a day** — another shift or the day off for one person, or a call-in on
their rest day, without touching the rota; leave, attendance and pay all follow the change. See
  [Change the plan](changing-the-plan.html).
- **Record overtime** — the extra hours somebody worked, the day, why they were needed, and
whether they fell at night; the month's pay works the premium out from your own rates. See
  [Overtime](overtime.html).
- **See a month of attendance at a glance** — one row per person, one column per day, with the
rest days, the holidays, the leave and the extra hours filled in; mark the days nobody turned up
and the month's pay takes them off. See [Attendance](attendance.html).
- **Print the work certificate when someone leaves** — the paper the law requires at every
departure, with the hire date, the last day and every job title held. See
  [The work certificate](offboarding.html).
- **Print the legal registers** — the personnel register and the paid-leave register for any
period, with the columns the law lists, ready to copy into the initialled books the labour
  inspector reads. See [Legal registers](legal-registers.html).
- **Keep the papers in each person's folder** — the identity document, the signed contract, a
medical certificate, a diploma, scanned or photographed onto their record. See
  [Documents on file](employees.html#documents-on-file).
- **Organise the business into departments** — Production, Shop, Administration — nested as deep
as you need, and closed without losing their history. See
  [Departments and job titles](departments-and-job-titles.html).
- **Keep the list of job titles** people are employed as, each with the job category Algerian
paperwork sorts staff by. See [Job titles](departments-and-job-titles.html#job-titles).

## Where to find it

Open **Human Resources** in the sidebar. The module opens on what needs doing (below), and the
sidebar lists the work you come back to every week — **Employees**, **Leave requests**, **Roster**,
**Attendance** and **Legal registers** — and, at the end of the list, **Setup**. **Attendance** is one page
for the month: its **Attendance sheet** tab and its **Overtime** tab, the register of extra hours.

<a id="what-needs-doing"></a>
## See what needs doing

Opening **Human Resources** shows the work waiting for somebody, in five lists. Each row opens the
record where the job is done, and the lists are read again every time you open the page.

| List | What it shows | What to do |
|---|---|---|
| **Leave requests to decide** | the requests submitted and not yet approved or rejected, the one starting soonest first | open one and press **Approve** or **Reject** |
| **Who is away** | the approved leave covering today, then the leave starting in the next seven days — a day marked absent on the attendance sheet included | nothing: it tells you who not to count on |
| **Contract deadlines** | the probations and the fixed-term contracts ending in the next thirty days | decide before the date: confirm the hire, renew the contract with an amendment or a new contract, or let it end |
| **Incomplete register lines** | the people whose line in this year's personnel register would print with a blank, and what it lacks | open the person and fill in what is missing |
| **Shifts short of people** | the shifts of today and the next six days with fewer people there than they [need](changing-the-plan.html#people-needed) | open the roster at that month and put somebody on the day |

Each list shows five rows and how many there are in all, and **View all** opens the whole list.
Above them, buttons start the week's usual jobs: **New employee**, **New leave request**, **New
overtime** and **Attendance sheet**. You see only the lists and the buttons your role lets you
open.

<a id="job-map"></a>
## Where each job is done

Most jobs can be started from more than one place, and every way in opens the same form — already
filled in with the person when you start from their record.

| Job | Where it is done | Also from |
|---|---|---|
| Add an employee | **Employees**, then **New** | the home's **New employee**; a department's **Employees** tab |
| Record leave | **Leave requests**, then **New** | the home's **New leave request**; the person's **Leave requests** tab |
| Decide a leave request | the request itself: **Approve** or **Reject** | the home's **Leave requests to decide**; your notifications |
| A day nobody turned up | **Attendance**, marking the day on the **Attendance sheet** | a leave request of the type **Unjustified absence**, when you want to add a note or a document |
| Record overtime | **Attendance**, then **Overtime** and **New** | the home's **New overtime**; the person's **Overtime** tab |
| Someone leaving | **Mark as left** on the person's record | **End contract** on their contract — the same step |
| Their final pay | **Start the final pay** on the person's record | **Payroll › Final pays**, then **New** |

**Two places record something different, on purpose.** A month's pay has a **Variables** tab where
absences and extra hours can also be typed. What you type there changes that month's pay and
nothing on the person's record:

- **Days of absence** typed there are added to the days marked on the sheet and to unpaid leave,
never instead of them. Use it for a business that keeps no sheet, or for a day found after its
  month was closed.
- **An overtime amount** typed there is for a business that pays an agreed sum rather than
counting hours. The same person cannot have both in one month: the month's pay refuses until one
  of them goes.
- **An allowance** on the person's **Pay** tab is paid every month from its date; one typed on
**Variables** is for that month only.

See [Enter the month's variables](../payroll/payroll-run.html#enter-the-months-variables).

<a id="setup"></a>
## Set up the module

**Setup** is one page for everything you set once and come back to about once a year, with a tab
for each:

| Tab | What it holds |
|---|---|
| **Departments** | the parts of the business people work in — see [Departments and job titles](departments-and-job-titles.html) |
| **Job titles** | the jobs people are employed as — see [Job titles](departments-and-job-titles.html#job-titles) |
| **Shifts** | the hours your business works in one go, for a business that runs around the clock — see [Define the shifts](shifts-and-rotas.html#define-the-shifts) |
| **Rotas** | the cycles of shifts and rest days your crews repeat, and the crews on each — see [Build a rota](shifts-and-rotas.html#build-a-rota) and [Set up the crews](shifts-and-rotas.html#set-up-the-crews) |
| **Leave types** | the kinds of absence, seven of them from the law — see [Leave types](holidays-and-leave.html#leave-types) |
| **Public holidays** | the holiday calendar — see [Keep the holiday calendar](holidays-and-leave.html#keep-the-holiday-calendar) |
| **Rest days and leave** | the days your business rests, and how annual leave is earned — see [Set your working week](holidays-and-leave.html#set-your-working-week) |

Each tab has an address of its own, so a bookmark to a list you used before still opens it, now as a
tab of Setup. You see only the tabs your role lets you open, and with none of them Setup is not in
your sidebar at all. The figures pay is computed from belong to Payroll — see
[Payroll](../payroll/index.html).

## Who can see it

The module appears only for members who have been given access to it — a member without access
sees no Human Resources entry at all. Staff details are personal information, so give access to
the people who keep the register and to nobody else. See
[Roles and permissions](../access-control/roles-and-permissions.html) for how access is handed out.
