# Your Inbox

Everything Beelocity needs to tell you lands in one place: the **Inbox**, reached from the
bell in the top bar or the **Inbox** entry in the sidebar. Approvals waiting on you,
invitations to join an organization, invoices that went overdue, stock running low, a
finished planning run, a till that closed short, cheques maturing soon — one stream,
across every organization you belong to. If it needs your attention, it is in this list; you
never have to tour separate "pending" pages to be sure you missed nothing.

## The bell

The bell in the top bar shows how many unread notifications you have and, when clicked,
previews the newest ones. Clicking an item opens the thing it is about — a purchase order, a
work request, an invoice list — and marks the notification read on the way. The same count
appears next to **Inbox** in the sidebar.

## How a notification lives

Notifications work like an email inbox:

- **Unread** — it arrived and you have not opened it yet. Bold title, accent dot, counted on
  the bell.
- **Read** — you opened it. It stays in your inbox until you archive it.
- **Done** — archived: handled and out of the way, under the **Done** tab. Nothing is
  deleted, and you can move an item back to your inbox at any time. Done items are tidied up
  automatically after 180 days (sooner — 30 days — for items that resolved themselves because
  someone else handled the request) — unless saved, which keeps them forever.
- **Saved** — bookmarked. Save anything you want to come back to; it shows under the
  **Saved** tab whatever its other state.

Items are listed newest first, by the time they arrived — and they stay put: reading, saving
or archiving one never moves it up the list. The only thing that lifts an item back to the top
is a genuinely new event about the same subject, which also returns it to unread and raises its
×N counter. The time shown on a row is that latest event, so the order you see always matches
the times you read.

Mark items read, unread, done or saved one by one from the row, in bulk after selecting
several, or use **Mark all read** to clear everything matching the current tab and filters —
the search box narrows what you see, but not what **Mark all read** touches. The button only
appears while more than one item is unread anywhere in your inbox — below that the row's own
action is the quicker way.

## Acting from the inbox

Some notifications ask you to do something and carry a **Needs action** badge — an approval
assigned to you, an invitation to join an organization. Open the row and the buttons are
right there: **Approve**, **Reject** or **Delegate** for an approval; **Accept** or
**Decline** for an invitation. The decision is exactly the same as it would be from the
document itself.

Two things happen quietly on your behalf:

- If someone else settles the matter first — another approver decides, the invitation is
  cancelled — the item leaves your inbox on its own. You will never act on stale work.
- Repeated events about the same thing fold into a single notification instead of piling up.
  A **×N** counter shows how many events it stands for, and each new one returns the item to
  unread so you notice it again.

## Priorities

Every notification carries a priority — **Low**, **Normal**, **High** or **Urgent** — fixed
by what kind of event it is. An approval assigned to you is always High; a breached deadline
or a failed planning run is always Urgent. Filter by priority when you want the loud things
first.

## Finding things

The tabs (**Inbox**, **Unread**, **Saved**, **Done**) split the stream by lifecycle. The
filter menu narrows it further: by kind of notification, by module, by priority, by
organization, by whether an item still **needs action** (Yes for your pending approvals and
invitations, No for everything else), or to a date range. There is also a free-text search over
titles and descriptions.

Documents you send for sign-off ride the same stream: each one gets a single
**[My submissions](approvals/my-submissions.html)** item that follows it from *Submitted* to
*Approved* or *Rejected*, so you can watch progress without opening each document. Filter on
that kind for the list of everything you have submitted.

Every filter lives in the page address — bookmark a view like "urgent items in my trading
company" or share the link with a colleague, and it opens exactly that view.

Because your inbox spans organizations, each row shows an organization chip. Opening an item
that belongs to a different organization switches you there first, so the document always
opens in the right context.

## Email delivery

In-app notifications are always on — this page is where they live. Email is off until you ask
for it: the gear icon on the inbox opens **Settings → Preferences**, at its **Notifications**
section, where one master switch decides whether anything reaches your mailbox at all. Turn
it on and every kind emails you; untick a kind and it stays in your inbox but stops reaching
your mailbox. A few kinds never email at all (invitations, which already send their own
invitation email, and escalated-away courtesy notes) — those are marked **In-app only**.
Urgent items announce themselves in the email subject line.

Unlike the number format on the same page, this choice belongs to your account rather than to
one device, so it holds wherever you sign in. Nobody else's inbox changes when you edit it.

Each notification email carries a button that lands you straight on that item in your inbox,
already marked read.

## What arrives, at a glance

| From | You are told when… |

| Approvals | a request is assigned or escalated to you (act inline); one of your assignments escalates away; and one running item per request you submitted — quiet while it progresses, loud when it is escalated or finally approved or rejected, with the reason. |
| Invitations | an organization invites you (accept or decline inline); someone answers an invitation you sent. |
| Planning | a planning run you started finishes — a summary on success, the error if it failed — plus a digest of its action messages. |
| Maintenance | a work request misses its response deadline; a work order goes past due; plans are overdue for review; a draft requisition is raised for a critical spare. |
| Inventory | available stock crosses a reorder point or minimum — told once per change, not repeated hourly. |
| Sales & Treasury | invoices go overdue (a daily digest); one of your quotations expires; cheques mature or pass presentation; recurring cash items come due within 3 days. |
| Procurement & Point of Sale | a supplier bill is held by a failed match or a dispute; a till closes over or short — for example a drawer counted 500 DA under its expected amount. |
