The Employees list is your staff register: one record for every person the business employs or has employed. It holds what the personnel register the law asks you to keep must show — name, sex, date and place of birth, address, the job each person holds, the date they were hired and their social-security number — and it keeps each person’s department, job title and the colleague they report to, and where their salary is sent.
Add someone to the register
- Open Human Resources › Employees and press New.
- The Employee number is already filled in with the next one, such as
EMP-2026-000014. If your business already gives its staff numbers of its own — a matricule printed on payslips or on a badge — type that number instead. Two people cannot share a number. - Type the First name, the Last name and the Hire date. That is all a new record needs; everything else can be filled in later.
- Press Save.
The rest of the record is in six blocks you can fill in as you go:
- Identity — gender, date and place of birth, the NIN from the biometric identity card, the social-security number the CNAS registered the person under, marital status, the number of dependent children, and Disabled or retired worker for a person the law taxes more lightly (how income tax is computed). Two people cannot share a NIN or a social-security number; leave either empty if you do not have it yet.
- Personnel register — what the register the law asks you to keep must mark about a person and nothing else records: the Apprenticeship start and Apprenticeship end of an apprentice, Home worker for someone who works from their own home, and Disabled worker. This last box is not the one in Identity: that one lightens the income tax and also covers retired people, while this one only marks the register. A minor, a fixed-term contract and a part-time contract need nothing here — the register reads them from the date of birth and the contract.
- Contact — phone, mobile and email.
- Address — where the person lives, down to the wilaya and the country.
- Bank details — the Bank and the Account number the person’s salary is transferred to: a RIB if they are paid into a bank account, a CCP if they are paid at Algérie Poste. Write the number exactly as it appears on the paper the bank or the post office gave them. Beelocity does not check it, so a number with a digit wrong is not refused here — the bank sends the transfer back instead. Two people may share one account, which is what a couple paid into the same household account needs.
- Employment — the Department and Job title, who the person Reports to, the Hire date, and the User they sign in to Beelocity as, if they do. Only departments, job titles and colleagues still in use are offered.
Once the person has a contract, a Current contract block shows the one in force today — its number, type, base salary and weekly hours, amendments included — and the Contracts tab lists every contract they have had. See Contracts. The same page prints their employment attestation.
Employees who also use Beelocity
Most people on a register never sign in to anything, and they do not need to: an employee is not a user. When someone does use Beelocity — the cashier who also opens the till, the accountant — pick them in User so the register knows which member of the organization they are. Only members of your organization are offered, and one member can be linked to one employee.
Find an employee
The Employees list searches by number and by name as you type. Its filter button narrows it by Department, Job title and Status, and every column can be sorted. Open a row to see the whole record.
The job titles someone has held
The Job titles held tab on a person’s record lists every job title they have had with you, each with the day it started and the day it ended. It is the list the work certificate prints when they leave, because the law asks the certificate for every post held and when.
You rarely have to touch it. Changing the Job title on the record — a promotion, a move to another post — ends the title they had the day before and starts the new one today, automatically. Correcting a title on the day you typed it replaces it rather than adding a second one.
What the tab is for is the past Beelocity could not know:
- The history from before you used Beelocity. When the tab first appeared, each person got one line: their current title, from their hire date. If someone was promoted before that, change the From date of their current title to the day of the promotion, then press Add and enter the earlier title with its From and To dates. Fill in To before From: a line with no end would be a second current title, and Beelocity refuses it.
- A change recorded late. If a promotion was entered weeks after it happened, move the From date of the new title back, and the To date of the old one with it.
Beelocity refuses a title held before the hire date, one that starts after the day the person left, and two titles held on the same day. The title held today can only be changed on the record itself, so the tab and the record always agree.
Documents on file
The Documents tab on a person’s record keeps the papers you would otherwise file in their folder: a copy of their identity card, the signed contract, a medical certificate, a diploma.
- Open the person’s record and the Documents tab.
- Press Add a document, then Choose a file: a scan saved as a printable document, or a photo of the paper in JPEG or PNG, 10 MB at most.
- Pick its Category — Identity document, Signed contract, Medical certificate, Diploma or Other — and give it a Title. The title starts as the file’s name; write what you will look for later, such as Contrat de travail 2024.
- Press Add a document. It is listed with the day it was added.
To look at one, open the row’s menu and choose Download. The file downloads under its title.
Beelocity decides what a file is from its content, not from its name: a text file renamed
.pdf is refused.
Remove takes a document off the record, after you confirm. The file itself is never deleted: the record stops listing it, and the audit log keeps who removed it and when. Add the right file again if you removed the wrong one.
Anyone who can see the record can see and download its documents, medical certificates included. Adding and removing them needs the right to edit the record.
When someone leaves
A person who leaves is not deleted. Their record stays on the register, because the personnel register is kept for good and must show every departure with its date and its cause.
- Open the person’s record. The road along the bottom of the page, beside the tabs, reads Active → Left.
- Click Left. Beelocity asks two things:
- Left on — the last day the person worked for the business. It cannot be before their hire date; leaving on the day they were hired is allowed.
- Reason for leaving — the legal cause, from the list the labour law gives: the end of a fixed-term contract, a resignation, a dismissal, total incapacity, a workforce reduction, the employer ceasing trading, retirement, death, or an end during probation. The list offers only what the contract in force allows: the end of a fixed-term contract only for one, and an end during probation only up to the probation’s last day.
- Press Mark as left.
The status now reads Left. A Departure block on the record shows the day and the reason, and resting on the Left step of the road says the same, with who recorded it and when. If the person had a contract in force, it ends on the same day for the same reason. End contract on that contract is the same step taken from the other record: it asks the same two questions, and marks the person as left.
Someone who has left is no longer offered when you pick who a person Reports to or who heads a department. The people who already reported to them, and a department they headed, keep them until you change it — so once a manager has left, open each of their team’s records and pick who they report to now.
Their record now offers Start the final pay under More actions — greyed out, with its reason, for as long as a person is employed — and the work certificate in place of the employment attestation. What the person is owed is their final pay, in Payroll, and the certificate the law requires is The work certificate.
When someone comes back
A former employee who is hired again goes back on the same record, under the same employee number.
- Open their record and click Left, the status at the bottom of the page. The map of the statuses opens.
- Click Active. Beelocity asks for the new Hire date, which must be after the day they left.
- Press Rehire.
The status reads Active again, the hire date is the new one, and the Departure block is gone from the record. The earlier departure is not lost: the audit log keeps when the person left and why.
If the person comes back under a written contract, you can skip this: draft the new contract on their Contracts tab and sign it, and they are rehired on its start date. See Sign the contract.
