Algerian law asks every employer to keep a set of registers and to show them to the labour inspector on request. The personnel register lists everyone who has worked for the business: their name, sex, date and place of birth, address, the job they hold, the day they were hired, the day and the reason they left, their social-security number and the nature of their employment. Beelocity already holds all of that on the staff register, so it prints the register for you instead of leaving you to copy it out by hand.
The third book the law asks for, the payroll book, prints from Payroll: see Payroll book.
What the print is for
The law asks for a bound book, numbered and initialled by the labour inspection before anything is written in it. Beelocity cannot hand you that book, and it does not pretend to. What it prints is a copy of the entries, to carry into the book or to paste into it, and every sheet says so at the top. Keep the initialled book: it is the register, and it is kept ten years after it is closed.
Print the personnel register
- Open Human Resources › Legal registers.
- Choose the period in From and To. The page opens on the year so far. Everyone employed on at least one day of the period has a line, in the order they were hired.
- Pick the Document language — French or Arabic, as the register is kept.
- Under Personnel register, press Print personnel register to open it, or Download personnel register to keep the file. Every register has its own pair, named after it.
The page is landscape: the register has ten columns, and a portrait page would wrap every one of them.
Each person’s job title is the one they held on the last day of the period they were employed, not the one they hold today, so a register for last year shows last year’s posts.
The nature of the employment
The law asks the register to mark some kinds of worker. The last column says, for each person, whichever applies:
- Apprentice, with the dates the apprenticeship starts and ends;
- Minor worker, for somebody under eighteen, worked out from the date of birth;
- Fixed-term contract and Part-time worker, read from the contract in force;
- Home worker and Disabled worker.
An open-ended, full-time adult is not marked, and their cell is empty. The apprenticeship, home work and disability are set in the Personnel register block of the person’s record — see Add someone to the register.
Lines with something missing
Beside the form, Incomplete lines lists everyone whose line would print with a blank — no social-security number, no date of birth, no contract in force — and says what is missing. Each name opens the person’s record. A line with a blank still prints, so you can fill it in by hand in the book, but completing the record is better: the next register prints it for you.
Print the paid-leave register
The paid-leave register lists every annual leave taken in the period: who took it, their post, their hire date, how many days, the day they left and the day they were back, what the leave was worth, and a box for them to sign. Print it from the same page, under Paid-leave register, for the period and language you chose above.
- Only annual leave is on it. A family event, the pilgrimage, a sick leave or an unjustified absence is another kind of absence and does not print. Leave paid out when someone leaves is not leave taken either: it is on their final pay statement.
- Back at work is the first working day after the leave, past your rest days and public holidays.
- The leave indemnity is what the law says the leave is worth: one twelfth of the pay the person earned over the year that gave them the leave, worked out from your closed months. Your business pays a month of leave as a normal month, so this figure can differ from what the payslip paid for the same days — more if the year held overtime or bonuses, for example. The register prints the law’s figure because the column is the law’s.
- A blank indemnity is a leave whose year has no closed month in Beelocity, for instance before you started running payroll here. A note under the table says so; work it out from that year’s pay records.
Printing it needs access to leave and to payroll, because the indemnity is a figure from the person’s pay.
Who can print it
The personnel register is printed by whoever may see the staff register and print documents. A member whose access is limited to some of the staff cannot print it: a register with people missing from it would not say so.
