The Sales module manages the customer-facing side of your business — from preparing price proposals through to confirmed orders. It provides structured workflows that ensure quotations are reviewed, approved, and converted into actionable orders with a clear audit trail.
Key Features
- Sales Quotations — Create detailed price proposals for clients, manage the negotiation lifecycle (send, accept, reject, revise), and convert accepted quotations into sales orders.
- Sales Orders — Manage confirmed orders from clients through the full order-to-fulfillment lifecycle, including internal approval workflows, delivery tracking, and order closure.
- Delivery Notes — Track the physical dispatch of goods from your warehouse to clients, managing the picking, packing, shipping, and delivery confirmation process.
- Sales Invoices — Bill delivered orders, track what each client owes (paid, partially paid, overdue), and record incoming payments against each invoice.
- Credit Notes — Reduce what a client owes after returns, pricing errors, or damaged goods; an issued credit is applied directly against its invoice’s balance.
Every one of these can be produced as a PDF in English, French or Arabic — see Printing and Sharing Documents.
Sales Workflow
A typical sales workflow follows these steps:
- A sales team member creates a sales quotation listing the items and prices offered to a client.
- The quotation is reviewed internally, then sent to the client for consideration.
- The client reviews the proposal and either accepts, requests changes (triggering a revision), or rejects it.
- Once accepted, the quotation is converted into a sales order, which becomes a binding commitment.
- The sales order is submitted for approval if required (credit check, large-value authorization, etc.).
- After approval, the order is confirmed with the client and moves to fulfillment — goods are picked, packed, and shipped from the warehouse.
- Shipped quantities are invoiced — the invoice tracks what the client owes until it is fully paid (or adjusted with a credit note).
Navigation
Open Sales in the sidebar. The module opens on what needs doing (below), and the sidebar lists the documents of a sale in the order a sale walks them:
- Quotations — price proposals, with their lines, revisions and lifecycle
- Orders — confirmed client orders, with their lines, approvals and fulfillment progress
- Delivery Notes — outbound shipments, from picking and packing to delivery
- Sales Returns — goods a client sends back, received into stock
- Invoices — what each client owes, with payment status and overdue tracking
- Credit Notes — credits issued against invoices
Setup, at the end of the list, holds what your sales are priced from.
See what needs doing
Opening Sales shows the work waiting for somebody, in four lists. Each row opens the record where the job is done, and the lists are read again every time you open the page.
| List | What it shows | What to do |
|---|---|---|
| Quotations expiring soon | the quotations you sent whose last valid day is today or in the next six days, the soonest first | call the client before the offer runs out, or let it lapse |
| Orders to deliver | the confirmed orders not yet fully delivered, by the date promised to the client, marked late once that date has passed | open the order and create its delivery note |
| Deliveries to invoice | the delivery notes that shipped and still have something to bill, the oldest first | open the note and create its invoice from More actions |
| Past-due invoices | the invoices still unpaid after their due date, the oldest first, with what is owed | chase the payment, and record it when it comes in |
Each list shows five rows and how many there are in all, and View all opens the whole list at the same selection. Deliveries to invoice has none, because the delivery notes cannot be narrowed to what is left to bill. Above the lists, buttons start the week’s usual documents: New sales quotation, New sales order and New sales invoice. The headline figures sit above the buttons, and the Past-due invoices figure counts exactly the invoices its list shows. You see only the lists and the buttons your role lets you open.
Set up the module
Setup is one page for what you set once and come back to when prices move. It has one tab:
| Tab | What it holds |
|---|---|
| Price Lists | the prices your quotations and orders use, by market, client group, currency or season — see Pricing and Price Lists |
The tab keeps the address the price lists always had, so a bookmark to them still opens it. If your role does not let you see price lists, Setup is not in your sidebar.
