Departments and job titles

Organise your business into departments and keep the list of job titles people are employed as.

Updated View as Markdown

Every person on your staff register sits in a department — the part of the business they work in. Departments are a tree: Pastry can sit inside Production, and Production at the top beside Shop and Administration. You set them up once, when you start keeping the register, and change them when the business changes. Every person also holds a job title — what they are employed as, such as Baker or Cashier — picked from a list you keep the same way.

Create a department

  1. Open Human Resources › Setup › Departments and press New.
  2. Type a Code — a short name your lists and searches use, such as PROD — and a Name, such as Production. Two departments cannot share a code.
  3. To place it inside another department, pick that one as its Parent department. Leave the field empty for a department at the top of the tree.
  4. Press Save.

Build the tree

A bakery with a shop and an office might look like this:

Production (PROD)
├── Bakehouse (BAKE)
└── Pastry (PAST)
Shop (SHOP)
Administration (ADM)

Departments nest as deep as you need. To move one, open it, press Edit and pick a different Parent department. The list only offers departments outside the one you are editing: a department can never be placed inside one of its own sub-departments, because the tree would then have no top.

When a department closes

Deactivate it rather than deleting it: open the department and choose Deactivate under More actions (the three dots). It keeps its name, its code and its place in the tree, and it is no longer offered when you place someone in a department. Activate in the same menu brings it back.

A department that still has people in it cannot be deleted: deactivate it, or move the people to another department first. The same goes for a job title somebody holds.

Who is in a department

Open a department and choose its Employees tab: everyone whose record places them in it, with their employee number, job title, status and hire date. People who have left stay listed under the department they worked in, marked Left — filter on the status to see only today’s staff. Press New in the tab to put someone on the register with the department already filled in.

Narrowing the list

The Departments list searches by code and name. Its filter button narrows it further — to the departments inside one Parent department, for example, or to the inactive ones.

Job titles

A job title is what someone is employed as: Baker, Cashier, Accountant. You keep the list once and pick from it for each person.

  1. Open Human Resources › Setup › Job titles and press New.
  2. Type a Code, such as BAKER, and a Name, such as Baker. As for departments, two job titles cannot share a code.
  3. Pick a Job category if you use one — see below — or leave it empty.
  4. Press Save.

The job category

Algerian paperwork sorts staff into three levels, and salary grids, social-security declarations and staff statistics are all stated in them:

Job category In French paperwork Typically
Management Cadre the accountant, the production manager
Supervisory Agent de maîtrise the head baker, the shift supervisor
Operative Agent d’exécution the baker, the cashier, the driver

The category is optional: a small business can leave it empty and fill it in the day it needs it. The Job titles list narrows by it from its filter button.

A job title nobody uses any more is deactivated rather than deleted, exactly like a department: choose Deactivate under More actions.

Night work

The law forbids employing women at night, between 21:00 and 05:00, unless the labour inspector grants a derogation for the post, when the nature of the activity and the particulars of the post justify it (loi 90-11, art. 29). A hospital ward, a dairy’s night line or a guarding firm usually holds one. The derogation is the post’s, so Beelocity keeps it on the job title.

Open the job title, press Edit, and fill its Night work section:

  • Derogation reference — the reference the labour inspector’s decision carries.
  • Granted on — the day it was granted. It covers that day and every day after.

Press Save. The two go together: a reference without its date, or a date without its reference, is refused. A job title with no derogation is the law’s default: Beelocity refuses to put a woman holding it on a crew whose shifts reach into the night, and refuses to clear a derogation while it covers a night somebody is planned on (Shifts and rotas).
